2016-2017 Certificate of Achievement EMAILS/Letters:

Teachers,
 
This email contains all the remaining information needed for next week's Certificate of Achievement event. Warning: There are A LOT of attachments! 
 
1. Teacher information: This paper should answer any questions you or your students may have about the actual festival. 
 
2. Student Information sheet: Please print this out and go over it in detail with your students at their lessons next week. A few reminders: Judges will be permitted to stand during the technique portion of the exam, so as to watch the fingering more closely. The Theory and Ear Training rooms will both have a hard close at 4:30pm. Also, remind your families to not use the BSU wi-fi on the 3rd floor. Signs will be posted!
 
3. Student Appointment Forms: please fill these out for or with your students, double checking their performance time. These times are final! Please do not encourage your student to try to “squeeze in” early or late. We have an extremely tight judging schedule for the day. However, there are occasional cancellations, so last minute changes may be able to be accommodated–please contact me at 208.608.9709. If not, then Make-up day and Path B are available options. Also, please remind your students that a member of their family needs to check them in at the front desk. This is for both practicality and safety. 
 
4. Parking Permit: This may be emailed to your families, or printed out for them. 
 
5. Volunteer information sheets: We are including instruction sheets for volunteers this year! Please print out the appropriate sheets for your parent volunteers. We would like them to feel more knowledgable about the specifics of their responsibilities at the event. 
 
6. Technique Sheets: Suzy Clive hand-corrected the free, downloadable technique sheets available on-line so they match the California Certificate of Merit syllabus. We sent these out in an email about a month ago. I am including them again here, in case they were overlooked. If you look through them and find that your students have learned the technique without corrections, do not worry! The judges will be told that either option is acceptable this year. 
 
Reminders:
 
•  Photocopy policy: This year we are trying something different. If a student comes with illegal photocopies they may still perform all other aspects of their program for the judge. The photocopied piece may then be 1) performed for no evaluation points or 2) performed on make-up day. If the student would rather play the entire exam on make-up day, that is also an option. Sign-up sheets for make-up day are located at the registration desk. Your student will need to indicate whether they are signing up for a full time slot, or for a single piece. 
 
• Regarding legal copies, If they are purchased downloads they should already be appropriately marked, or have an accompanying page stating that they were legally purchased. Please have that extra page included with the rest of the score. For public domain downloads, mark clearly across the bottom or the top (preferably in a bright color!) the website it was downloaded from, the words “public domain” and the date it was accessed. 
 
• There are a few volunteers whose contact information is not entered into the system. Please double check yours and get cell phone numbers in asap, so our volunteer coordinator can get ahold of people as necessary!

​Teachers,
 
The volunteer schedules have been finalized! You may check them through the website, and let your parent volunteers know. We tried very hard to make every shift approximately 4 hours, with 15 minutes built in at the beginning for for training and orientation. However, due to individual judges schedules, several afternoon door monitor jobs are shorter than that this year, while the Theory Room times are slightly longer than 4 hours.
 
Please impress upon your parents how vital they are to the success of this program—we simply could not do it without them! This festival is the culmination of the musical education their children have received over the past year. With such an important and large scale event, it takes all hands to make it successful. We appreciate and value their willingness to give their time! I am excited to see this event pulling together. And teachers, know how indebted we are for your hard work leading up to the festival, and your diligent work to keep things running smoothly the day of. Your are incredible, and so are your students!

Hi Teachers participating in C of A,
 
It has come to our attention that some teachers do not in fact own the California Certificate of Merit syllabus and may have gotten technique requirements for their students from the Musician's West website. Unfortunately there are a few typos and misc. errors on that document.
 
In order to make sure your students do not have an unpleasant surprise in the judging room, we have attached the technique requirements to this email with any corrections written in red-it is mostly on the upper levels. Feel free to print and use freely in your studios. Thanks!

Dear C of A teachers,
 
It has come to the attention of the committee that not every teacher has signed up to personally fill a 1/2 day slot. Except in extenuating circumstances (i.e. wedding or funeral) we need all teachers to work at least one 1/2 day slot themselves. The rest of your volunteer slots may be filled by parents! 
 
To let all of you in on the behind-the-scenes of C of A, day of: We have 48 volunteer positions that need to be filled, but only 45 volunteers at our disposal—that number is generated through the number of students enrolled (1 volunteer for every 5 students).  We are already understaffed! Of those 48 total slots, 28 can be filled by parents, but the rest must be teachers. We use teachers for help in the theory room and help in the audit room with theory grading, as well as in a few other sensitive areas.  We have 23 teachers with students enrolled, but 4 of our teachers are judges, and several of our other teachers serve on the committee running Ear Training, Theory, Records, Judges, Volunteers, and Hospitality. You can see why you are ALL so important to us! This event literally cannot happen without you! (particularly when we have 213 theory tests to grade!)
 
You are all such phenomenal teachers, and you contribute so much to this festival. Your students are amazing to work with, and we are so pleased that we are able to offer this program to both you and them! Thank you so much for your willingness to help us out, and keep us staffed and running!

Teachers,
 
C of A schedules are now available on-line! Please go online to: Home | TVMTA Event Registrations and click on "2017 student schedule" under the Certificate of Achievement sidebar heading to view your student’s schedules.
 
Please notify your students of their scheduled time for COA.  Please send schedule change requests by next Friday evening by clicking the link on the schedule webpage. A finalized schedule will be sent out by April 1. If a student cannot attend their scheduled time after April 1, they will need to be moved to makeup day or path B. 
 
Also a reminder that all volunteers must be entered by Friday night, as well.
